Yealink Phone Knowledge Center

Use this section for Yealink desk phones and Teams phones. Open only the issue that matches the client’s symptom.

⚡ Phone will not turn on Black screen, no lights, or no response

Ask the client

“Is the screen completely black, and do you see any lights near the network connection?”

Expected healthy answer

The screen is on and the network-link light is active.

Likely causes

PoE, network cable, wall jack, switch port, adapter, or hardware.

Support instructions

  1. Confirm the cable is connected to the phone’s Internet or LAN port.
  2. Disconnect and firmly reconnect both ends of the network cable.
  3. Test a known-working Ethernet cable.
  4. Move the phone to a known-working PoE port or wall jack.
  5. Test the correct approved power adapter if the model supports one.
  6. Check whether another PoE device works on the same connection.
  7. Record the phone model, serial number, and switch port if it remains unpowered.
Escalate when: The phone remains unpowered on a known-working cable and port, multiple phones lose power, or there is heat, damage, smoke, or an electrical smell.
⌁ Phone has no IP address Blank address, 0.0.0.0, or network unavailable

Ask the client

“Please open the Status screen. What IP address is displayed?”

Expected healthy answer

A valid IP address assigned to the approved phone network.

Likely causes

DHCP, VLAN, cabling, wall jack, switch port, or network outage.

Support instructions

  1. Confirm the phone’s network-link indicators are active.
  2. Restart the phone and check the IP address again.
  3. Test the cable and wall jack with another approved device.
  4. Confirm DHCP is available for the expected network.
  5. Verify the switch port is assigned to the correct network or voice VLAN.
  6. Compare the port configuration with a known-working Yealink phone.
  7. Do not assign a static IP unless approved documentation requires it.
Escalate when: Multiple phones fail to receive addresses, the expected VLAN is unavailable, or switch and DHCP access require an authorized network technician.
! No Service or Register Failed The phone has power but cannot connect to the calling service

Ask the client

“Does the phone display Registered, No Service, Unregistered, or Register Failed?”

Expected healthy answer

Registered

Likely causes

Account credentials, phone system, provider, DNS, firewall, or Internet.

Support instructions

  1. Record the exact registration message and affected extension.
  2. Confirm the phone has a valid IP address, gateway, and DNS information.
  3. Check whether other phones using the same service are registered.
  4. Verify the configured server and account against approved records.
  5. Confirm the phone system or hosted service is reachable.
  6. Check for a client-wide Internet or provider outage.
  7. Restart the phone only after documenting the original status.
Escalate when: Several phones show the same status, credentials are rejected, or provider, phone-system, firewall, or DNS access is required.
☎ Cannot make calls Internal, outbound, or specific-number failure

Ask the client

“Can you call another internal extension? Can you call an outside number?”

Expected healthy answer

Both internal and authorized external calls complete successfully.

Likely causes

Registration, extension, provider trunk, dial plan, or calling permissions.

Test in this order

  1. Confirm the phone shows Registered.
  2. Test another internal extension.
  3. Test an approved outside number.
  4. Confirm whether a dialing prefix is required.
  5. Record the called number, date, time, and displayed error.
  6. Check whether other phones can make the same call.
Interpretation: If internal calls fail, investigate the phone registration or phone system. If internal calls work but external calls fail, investigate the provider, trunk, dial plan, or calling permissions.
↙ Cannot receive calls Calls go to voicemail, ring elsewhere, or never reach the phone

Ask the client

“Does the phone ring, go directly to voicemail, or ring another device?”

Expected healthy answer

The assigned phone rings and can answer the incoming call.

Likely causes

Do Not Disturb, forwarding, number assignment, registration, or routing.

Support instructions

  1. Confirm Do Not Disturb is disabled.
  2. Check call-forwarding settings.
  3. Confirm the correct extension and direct number.
  4. Place a controlled call from an external phone.
  5. Check whether another assigned device rings.
  6. Confirm the phone remains registered during the test.
♫ Phone audio problems One-way audio, no audio, echo, static, or robotic sound

Ask the client

“Can you hear the caller? Can the caller hear you? Does the issue happen on the handset, speakerphone, and headset?”

Expected healthy answer

Both participants hear clear audio through the selected device.

Likely causes

Mute, headset, handset cable, audio routing, network quality, or media path.

Support instructions

  1. Confirm the phone and headset are not muted.
  2. Disconnect the headset and test the handset.
  3. Test the speakerphone separately.
  4. Adjust the volume while the call is active.
  5. Inspect handset and headset cables.
  6. Determine whether one phone or multiple phones are affected.
  7. Document whether the problem affects internal, external, or all calls.
Escalate when: Audio works only one way, multiple users have poor quality, or the firewall, media path, network quality, or provider requires further review.
● Voicemail or message indicator issue Messages cannot be left, retrieved, or cleared

Support instructions

  1. Call the extension and allow it to reach voicemail.
  2. Leave a controlled test message.
  3. Retrieve the message using the approved voicemail procedure.
  4. Confirm the voicemail box is assigned to the correct extension.
  5. Check whether forwarding or notifications were redirected.
  6. Restart the phone if the message indicator remains after messages are cleared.
Factory reset warning: Do not factory-reset a client phone as the first troubleshooting action. First record its provisioning method, MAC address, firmware version, network configuration, registration status, and recovery procedure.

  2. Select the correct HDMI input.
  3. Reconnect the HDMI cable at both ends.
  4. Check the MeetingBar or room computer for power and status lights.
  5. Test a known-working approved HDMI cable.
  6. If two displays are installed, document each display separately.
Escalate when: The source device has power but produces no video, the display loses signal repeatedly, or multiple room components lose power.
♙ Teams Room cannot sign in Account, password, license, mailbox, or security-policy issue

Ask the client

“What exact sign-in message appears, and did the password or security policy recently change?”

Expected healthy answer

Ask the client

Expected healthy answer

The scheduled meeting displays Join and opens successfully.

Likely causes

Teams sign-in, room license, meeting type, time, network, or account policy.

Support instructions

  1. Record the meeting type and exact behavior.
  2. Verify the room account’s Teams sign-in status.
  3. Confirm the Teams Rooms license is active.
  4. Confirm the room supports the meeting type.
  5. Check the room’s date and time.
